Reporting directly to the Risk Specialist, the Health & Safety Administrator plays a critical support role in ensuring operational compliance with the South African OHS Act, internal Coca-Cola safety standards, and audit requirements.
Key Purpose of the Role
The position focuses on health and safety data administration, documentation control, compliance tracking, and coordination of safety-related activities across the manufacturing plant. This role is essential in maintaining audit readiness, legal compliance, and a strong safety culture within the facility.
Core Responsibilities and Compliance Functions
Health & Safety Data & Records Management
- Maintain accurate records for incidents, risk assessments, safety meetings, toolbox talks, and corrective actions
- Update safety registers and compliance monitoring tools
Safety Systems & Reporting
- Capture and manage data across H&S systems and platforms
- Assist with monthly, quarterly, and annual safety performance reporting
Audit & Inspection Support
- Prepare documentation for internal and external audits
- Track inspection findings and corrective action close-outs
Training & Induction Coordination
- Schedule safety training, medical assessments, and employee inductions
- Maintain training and certification records for employees and contractors
Legal Compliance Administration
- Manage legal appointment files, permits, and contractor documentation
- Track renewals for fire equipment servicing, PPE calibration, and compliance certificates
Communication & Engagement
- Distribute safety alerts, compliance updates, and awareness materials
- Support safety campaigns, toolbox talks, and H&S promotional events
Administrative Support
- Coordinate H&S committee meetings, agendas, and minutes
- Provide day-to-day administrative support to the Health & Safety management team
Skills, Experience & Qualifications Required
Education
- National Certificate or Diploma in Office Administration, Health & Safety Administration, or related field
- Health & Safety coursework or AMTRAC exposure is advantageous
Experience
- 2–3 years’ administrative experience in manufacturing, industrial, or compliance environments
- Previous exposure to health and safety or regulatory functions is highly beneficial
- Experience with document control and audit preparation
